TERMS & CONDITIONS

In the following Terms & Conditions, Hungary for Events, “we”, “our”, and “us” refer to HU4F Kft.

The words “you” and “your” refer to the person making the booking, and “group” refers to you and everyone traveling with you who uses Hungary for Events' services. It is assumed that you are the main contact for the group and that all correspondence will take place between you and us.

HOW TO BOOK

When booking with us, you must provide details regarding your group size, dates, and requested activities, and pay the required Program Organization Fee (POF), deposit, or full amount (depending on the specific activity or service required). Your contract with Hungary for Events / HU4F Kft. shall not come into existence until we issue a formal agreement. By making a booking with us, it is understood that you have accepted these Terms & Conditions. As the person making the booking, it is your responsibility to make all parties in your group aware of these conditions.

PRICING

Following your inquiry, we will send you a detailed initial proposal via email. This document will clearly outline all activity and service costs specific to your request, including all relevant details. There are no hidden extras.

We will provide a final quote for your selected itinerary at the time of reservation. Once you have paid your POF/deposit/full amount and received our invoice/confirmation, the price of your itinerary arrangements is fully guaranteed and will not be subject to any surcharge, except in cases of major currency fluctuations or force majeure.

All prices listed on our website are indicative and for reference only. Final pricing depends on your group size and the complexity of the services required.

We are a registered EU VAT entity. For all of our international B2B clients providing a valid EU or other international VAT number, invoices will be issued with 0% VAT under the reverse charge mechanism.

CHANGES MADE BY YOU

If you wish to change your booking in any way, we will endeavor to comply with your requests, but we cannot guarantee that changes can always be made. Where a change is possible, we will not charge an amendment fee; however, you will be charged for any extra costs incurred by us or any charges imposed by our partners.

CANCELLATION BY YOU

Cancellations made less than 14 days prior to the event are subject to a 100% cancellation fee (depending on the requested activity or service). We must receive written notification from the person who made the booking. Since we incur costs when cancelling your booking, you will be required to pay the applicable fees; however, we will always strive to minimize non-refundable costs where possible.

CHANGES MADE BY US

While it is very unlikely, we may sometimes need to amend your booking. We reserve the right to change any partner at any moment if we believe levels of service or value are not being upheld, or for any other reason. Although we will always try to advise you of these minor changes before your arrival, we are under no obligation to do so.

LIABILITY

Your safety and enjoyment are incredibly important to us. We pride ourselves on working exclusively with highly professional, trusted, and fully qualified local partners. We take great care and responsibility in organizing your itinerary and selecting the providers we work with.

If anything unexpected happens during your trip - such as an accident, injury, or illness - we will always do our absolute best to support you, mediate with local partners, and help you find the best possible solution. However, because Hungary for Events acts as an intermediary booking agent, we cannot accept legal or financial liability for the acts, omissions, accidents, or damages caused by these independent third-party providers.

Furthermore, we accept no liability for any accidents or injuries that occur while any member of your group is under the influence of alcohol or drugs. In the event of a claim regarding personal injury or damages, you must seek compensation directly from the primary activity provider or their respective insurance. We highly recommend that all members of your group secure appropriate travel and health insurance before your trip. In all cases, you must first seek compensation from the primary partner (Hotel or Activity provider).

Photos and film recordings may be produced during our events. Every person appearing in these recordings may be name-checked only with their prior agreement; however, by participating, they waive any claims against the makers of the recordings or the organizers of the event regarding the general use of such media.

PERSONAL INJURY UNCONNECTED WITH YOUR BOOKED ITINERARY

If you, or any member of your party, suffer death, illness, or injury arising out of an activity which does not form part of your booked itinerary arrangements or an excursion not arranged through us, we shall, at our discretion, offer advice, guidance, and assistance to help you in resolving any claim you may have against a third party, provided we are advised of the incident within 90 days of its occurrence.
